Onboarding checklist
Print this, tick the boxes
A one-page operational checklist for a new OpenSense site. Print it and tape it to the inside of the office door for the first 30 days.
Account
- Account created at signup URL.
- Magic-link login tested from the primary email.
- Billing details entered (or trial confirmed).
- VAT ID entered if EU business (for reverse-charge invoicing).
- Backup email recipient added in
Account → Recipients.
Site
- Site created with a real name (
Kava Bratislava — main). - Timezone set (
Europe/Bratislava). - Vertical chosen (
haccp/legionella/server-room/climate/energy). - Opening-hours window configured (used for out-of-hours alert escalation; optional).
- Site photo or logo uploaded (used on the PDF cover).
Per device (× N)
- Hardware unboxed and powered up.
- Sensor placement chosen (warmest stored item, away from evaporator).
- Photo taken of the installed sensor, uploaded to the device page.
- Device added in OpenSense (
+ ADD DEVICE). - Ingest URL pasted into the device's web UI.
- First reading verified within 2 minutes.
- Cadence confirmed (60 s for HACCP, 5–15 min for LoRaWAN, 30 s for door-event use cases).
- Battery level recorded as a starting value.
- Test alarm fired and cleared (see Week 0 of first 30 days).
Rules (per channel)
- Operating range matches the vertical preset (or is intentionally narrower).
- Grace period chosen (15 min default for HACCP).
- Time-of-day windows for known defrost / disinfection cycles.
- Severity escalation: who is notified after how long.
Notifications
- Telegram bot linked and the test message received.
- Email recipients added — primary, backup.
- Optional: webhook to incident system tested.
- Silence-window policy documented in operator notes.
Reports
- First report rendered manually (
POST /v1/reports). - Cover page reviewed for: site name, address, period, signature block.
- Monthly subscription enabled (renders on the 1st at 02:00 site-local).
- Recipients confirmed.
Compliance file (HACCP / Legionella)
- First month's PDF saved to the compliance folder.
- Migration cover sheet from paper logbook signed (if applicable).
- Risk assessment / HACCP plan updated to reference OpenSense as the temperature-control monitoring system.
- Insurance / inspector notified (optional but smart).
Hardware hygiene
- Spare batteries in a known drawer (one per sensor type, minimum).
- Spare sensor of each type in inventory if downtime > 1 day is unacceptable (small operators: skip; medium: 1 spare).
- Cable / Velcro / thermal paste stock for re-mounts.
People
- At least two staff trained on acknowledging an alarm.
- At least one staff trained on rendering a PDF for an inspector.
- Operator notes documented: "what to do when you get a Telegram that says ALARM".
After 30 days
- Onboarding checklist returned to the OpenSense folder.
- Replaced with a 12-month annual checklist (calibration, battery swaps, token rotation, sensor placement review).
